Process


  1. Check time until travel & confirm refund policy here
  2. Call the family to understand why they are cancelling. Discuss their options.
  3. If not already received, get the cancellation in writing in Email. If must be from an approved contact on the Itinerary. Respond using the template below.
  4. Create a Hubspot task to Heather to cancel. Use snippet #cancellation and fill out the required fields. Also tag the GT Program administrator (Shown in the opportunity in Salesforce). Add in the hubspot task @ the GT Program Admin.

Thank you for letting me know that [STUDENT] will not be able to travel with us. I have completed the cancellation of their [DATE] enrollment.

We are very sorry to see [STUDENT] go and sincerely hope that they will be able to join us on one of our spring break or summer programs in the future! If your plans happen to change, I would be happy to re-enroll them in a [DATE] program. Please make sure to keep this in mind as you are thinking about future plans.
