Summary
People join the waitlist directly through the website when a program is listed as "full." They can press the button to join the waitlist. They automatically get an email (documented in hubspot) thanking them for joining the waitlist and letting them know we will reach out if a spot on that program session opens up. Salesforce keeps a list on the session page of the waitlist for any given program.
Process
When a notification for someone joining a waitlist comes to the inbox we can treat that similar to a lead. Our goal is to talk to them. You will likely notice a few things....

often times it is the student joining the waitlist themselves
First step, give them a call! If they don't answer or the time zone doesn't work out, you can also email and text. Find out why they joined the waitlist and offer some alternative options.
Some common reasons for joining the waitlist generally include

program interest and limited capacity

a friend is enrolled in that session/date

they liked those dates the best
-
they are a teenager and just shopping around without having to pay anything.
The goal is to try to find a good alternative program or date for them!
Here is a sample email I might send: (waitlist was for Hawaii Surf, Snorkel, and Service 7/24-7/31- it is full and there is no space)

I wanted to check in and see if any other dates work for [PROGRAM NAME]? The waitlist for [DATES] is quite long.
Here are a few other options that have a few spots left!
