Process For Out Of Window OOW Flights

Process

1. Lookup [Itinerary] in Salesforce, ****confirm they are DIY & confirm which program they are on
2. Go to their [Attendee Record], click on the [Session]
3. Lookup windows in the [FLIGHTS] Section
   1. [DIY Program Arrival Time & Airport]
   2. [DIY Program Departure Time & Airport]

The options for being out of window

If [STUDENT] arrives BEFORE the window

• [He/She] can wait at the airport until our staff arrive at the window for $0
• If you'd like a chaperone to meet him and wait with him we can arrange that for $250

If [STUDENT] arrives AFTER the window

• We will organize a chaperone to meet [He/She], help collect his bags and organize transportation to meet up with the group at their first night accommodations and get checked in.

If [STUDENT] Departs BEFORE the window

• We will organize a chaperone to drop off [He/She] at the airport 3-4 hours prior to international departure for $250. The chaperone will stay at the airport until he/she has departed safely.

If [STUDENT] Departs AFTER the window

• [He/She] can wait at the airport by themselves until their departure for $0
• If you'd like a chaperone to stay with him/her and be at the airport until his/her flight departs, we can arrange that for $250
